Clients and projects, invoices (recurring too) with PDF and email, expenses read by AI, time tracking, tax estimates for Italy, Spain and the UK, a client portal with quotes, calendar sync, analytics, an AI assistant and an accountant pack (Excel and a ZIP of PDFs; FatturaPA XML too for Italy). With an Italian profile and SDI turned on you send FatturaPA and, by hand, the self-billed invoice on foreign service purchases, UK included. The interface is in Italian, English and Spanish.
Yes. Move to a higher or lower plan whenever you like. Access continues to the end of the period you have already paid for.
Passwords are not stored in plain text, sessions expire after inactivity and cookies are protected. You can export your data and schedule its deletion. Sensitive actions are logged.
No. Tax estimates are indicative calculations based on the rules set in the app. For decisions and returns, speak to a qualified professional.
When you sign up you choose Italy, Spain or the UK. The country decides how VAT is worked out on invoices, and it then stays fixed in your profile.
Starter is €59/month or €590/year; Pro is €79/month or €790/year (yearly = pay for 10 months, get 12). Same product modules in both tiers — Starter caps usage; Pro adds higher limits, priority support and collaborators. Prices exclude VAT.
Getting started
Fisqoo is your workspace to manage clients, projects, invoices, time, expenses, proposals and tax visibility in one place. It is built for independent professionals, small businesses and small teams who want less admin and everything linked together.
Start from Profile: country and fiscal/subject settings, company and billing details, and invoice branding (logo and accent colour). Then add your first client and project so invoices and time entries link correctly.
Account & language
Use the language selector and theme toggle in the header or in Profile, depending on your version. The app is available in several languages.
Clients & projects
Open Clients, click New client, and fill the form (contact details, address, tax IDs, notes). From that client you can add projects, invoices, and time. On the client list, Import CSV is available when you need a bulk import.
A project belongs to a client and groups work: status, milestones, budgets, linked invoices, time and files. That keeps quotes, billing and reports consistent.
If CSV import is available under Clients, use the template and verify records after import. If you do not see it, add clients manually or ask support.
Invoices & payments
Open Invoices, then Create invoice. (On the home dashboard, the quick action may be labelled “New invoice”; it is the same flow.) Select a client; a project is optional. Set issue and due dates, subtotal, tax, currency, notes, and if needed a PDF, Recurrence, and any other options shown, then use Create invoice to save. On the detail page, use Download PDF and Send by email. If the client is VIES-verified (EU), VAT is often set to 0% with an explanatory banner.
Yes. Profile lets you pick templates and set logo and accent colour. Layout comes from the template; legal and contact text comes from your profile.
When a schedule is set, new invoice instances can be generated automatically on that rhythm. Review each period before sending if your process requires approval.
Open the invoice and set status to paid (or partial if available). Enter payment date and method where the form allows so analytics stay accurate.
With an Italy profile you can attach or import a FatturaPA XML and, if electronic invoicing (SDI) is enabled in Profile, send the invoice to SDI from the list or detail view. XML in the accountant pack remains for review and archive. Validation, filings and bookkeeping stay with your commercialista.
Time tracking
Open a project: the Time tracking section starts a timer or lets you log manual hours. Use Time reports in the sidebar to review time by client and project. The Calendar can also create linked time on a project when you wire an event to a project (where that flow is available).
Expenses
Add expenses in Expenses and attach a receipt file if needed. If AI assist is on, PDFs may be parsed to pre-fill fields—always verify before saving.
On new/edit expense, invoice or daily receipt you can upload PDF, photo (including HEIC) or, with an Italy profile, FatturaPA XML. AI pre-fills amounts, dates and vendor; passive XML creates or updates the expense. Always review before saving. Max file size is shown on the form (usually 5 MB).
Client space
A secure, branded page you share with a magic link. Your client sees what you choose—milestones, documents, proposal status—without access to your full account.
Usually not. Access is via a unique link. Treat links like credentials: share only with the intended person.
Proposals
Create a proposal for a client, define scope and amounts, generate a PDF if needed, then share via the portal. When the client accepts, continue with your agreed next steps inside the app.
Tax & dashboard
No. Estimates and reminders are indicative and based on your profile data and built-in rules. They are not legal, tax or accounting advice. Confirm deadlines and amounts with a qualified professional.
In Profile, under the accountant export section, you can lock a date range (for example a closed quarter). While locked, only paid or cancelled invoices with an issue date in that range are immutable; drafts, sent, overdue, expenses and daily receipts stay editable. Unlock a period from the “Periods” list.
Calendar
Use Calendar or Integrations to connect Google or CalDAV. After you authorise, events can appear next to milestones and deadlines where supported.
Analytics & export
Analytics summarises revenue, expenses, margin, effective rate and top clients over selectable periods. From Profile you can download or email an accountant package (ZIP/Excel) for a date range: a consistency check runs first; if there are only warnings you may still proceed. For UK sole traders, Analytics also shows indicative MTD ITSA context (quarters and threshold).
Before you download or email the accountant package, the app reviews invoices, expenses and daily receipts in the selected period and reports blocking errors or warnings. Errors must be fixed; with warnings only you can choose to proceed. The action is recorded for security auditing.
Profile & data
Open Profile and complete business and billing fields. Choose an invoice PDF template and optional accent colour. These feed invoice and proposal PDFs.
In Profile, use the data export option (format depends on configuration: JSON, CSV or ZIP). Large exports may take a moment to prepare.
Help & AI
Open Help, go to the Support tickets tab, add a subject, category and message. Replies show in the thread; status shows whether the ticket is open, in progress, answered or closed.
No. The AI helps you use the product and can be wrong. For tax, legal or compliance, always use a qualified advisor and official sources.
The Weekly recap widget shows an AI summary of invoices, projects and deadlines. Tap Refresh to regenerate it. It is an operational reminder, not tax advice; hide it from Customize blocks if you do not need it. Up next is a separate rule-based list (no AI).
Access
Linked clients and, read-only, the documents used for the return: periods, issued invoices, expenses and supplier invoices, plus the ZIP/Excel pack. It is not a copy of the client’s whole account.
No. You review and download the data here. Filing the return stays outside Fisqoo.
Clients
Two ways: they sign up from the studio’s link, or an existing client invites you from their profile. The studio does not register itself. Fisqoo creates the account and the email is for setting the password.
Overdue invoices, open invoices, expenses and locked periods. Open it for the period pack and the document lists.
Invoices and expenses
You cannot change an issued invoice. On an expense you can correct only the category and, for a vehicle of a Spanish fiscal profile, the share that counts (100% or 50%). Amount, date, supplier, VAT figures and the file stay as the client saved them. The client is notified. You cannot create, send, upload or delete.
On the client page, above search. Issued invoices use the issue date; expenses use the expense date. If you pick a quarter and no year, the current year is used.
The ZIP and Excel for the period you set. Every issued invoice has Download PDF. An attachment or XML appears only if the client uploaded it. The pack language follows the client’s fiscal country, not the portal language.
Profile
From Profile. The language applies to the portal and to the studio’s emails. Theme (light, dark or system) is only there. The login email is read-only. You can change the password and, if you want, turn on a passkey.
Pricing questions
Yes. Plans are monthly — upgrade or downgrade anytime. Access continues until the end of the paid period.
No, there is no free trial. You can start on Starter and cancel whenever you like, with no lock-in.
Card payments are processed by Stripe. You see the final amount (including VAT where it applies) before you pay. Receipts and subscription management are available from your account.
We suggest moving to Pro. The data you already have is not deleted: you just cannot create new records beyond the limit.
Yearly billing charges £590 (Starter) or £790 (Pro) once per year — the same as 10 monthly payments, so you save about two months. You pay upfront; cancellation still runs until the end of the period you paid for.
